WAVE ("WAVE", "we", "us", or "our") provides a volunteer management and event scheduling platform for swim teams and similar volunteer organizations (the "Service"), available through our website and mobile applications (the "App"). This Privacy Policy explains what information we collect, how we use it, and the choices available to you.
2. Information We Collect
- Account information: your name, email address, and password (managed securely through our authentication provider).
- Team and role information: the teams you belong to, your role (volunteer, admin, coordinator, sponsor, etc.), and team contact details.
- Volunteer activity: event sign-ups, shift assignments, check-ins, completed events, and volunteer hours or points earned.
- Family member profiles:if you are a parent or guardian, information you choose to add about family members (such as a child's name) so they can be scheduled for volunteer shifts.
- Notification data:a device push-notification token so we can send you reminders and updates about your team's events.
- Billing information:if your team subscribes to a paid plan, our payment processor (Stripe) handles your payment details directly. We store only subscription status and billing metadata — we never see or store your card number.
- Support communications: if you contact us, we collect your name, email address, and the contents of your message.
3. How We Use Your Information
We use the information described above to:
- Operate the volunteer scheduling, event management, and team communication features of the Service;
- Send event reminders, schedule changes, and other notifications related to your team's activities;
- Track volunteer hours and points and manage related rewards;
- Process and manage subscription billing for teams that choose a paid plan;
- Respond to support requests and communicate with you about your account; and
- Maintain, secure, and improve the Service.
4. We Do Not Sell Your Information
We do not sell, rent, or trade your personal information to third parties for advertising or marketing purposes. Information you provide is used solely to operate the features of WAVE described in this policy.
5. Sharing With Your Team
Because WAVE is a team management tool, certain information (such as your name, contact details, and volunteer history) is visible to administrators and coordinators of teams you belong to, as needed for them to schedule and manage volunteers. We do not share your information with teams you are not a member of.
6. Third-Party Services
We rely on a small number of trusted service providers to operate WAVE, including database and authentication hosting, payment processing (Stripe), and push-notification delivery (Apple, Google, and Expo). These providers process data only as needed to provide their services to us and are bound by their own privacy and security obligations.
7. Children's Information
WAVE is intended for use by parents, guardians, and adult volunteers. Any information about a minor (for example, a "family member" profile) is added and controlled entirely by the parent or guardian's account. We do not knowingly collect personal information directly from children. If you believe a child has provided us with personal information directly, please contact us so we can remove it.
8. Data Retention
We retain your information for as long as your account is active or as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your account and associated data at any time — see "Your Choices" below.

We use reasonable administrative, technical, and organizational safeguards designed to protect your information, including encryption in transit and access controls that limit data access to authorized users of your team.

- You can review and update your account information from within the app.
- You can disable push notifications at any time in your device settings.
